Office Assistant Summary

As an Office Assistant based in our Barton Springs office, you will play an in-person role critical to our daily operations and the smooth running of our office. This position involves a variety of administrative and support duties that contribute directly to the success of our business.

Responsibilities and Duties

  • Listing/Transaction Management: Oversee the processing of tenant assignments, listings, leases and sales, maintaining accurate records and ensuring all required documents and approvals are included.
  • Communicate with both broker and staff from the regional and corporate level.
  • Marketing Support: Coordinate property marketing activities including listings on services and the company website, property photos, signage, and the design and editing of promotional materials.
  • Team Supervision: Manage schedules and task distribution for 1-2 team members, ensuring efficient operations.
  • Onboarding Support: Assist with onboarding new employees and broker, including the setup of phones and other office systems.
  • Financial Administration: Approve transaction invoices and expense reports before processing, liaising with the accounting department.
  • Office Administration: Manage general office needs including supplies, equipment maintenance, and office aesthetics. Maintain paperwork related to new affiliations and licenses.
  • Additional responsibilities: Perform all other tasks and requests as assigned, adapting to evolving business needs and providing support across various company initiatives.

Client Interaction

  • Maintain a welcoming and professional demeanor, managing first impressions for all office visitors and handling incoming calls.

Computer Skills

  • Database Management: Create, edit, and manage databases, retrieving records and generating reports.
  • Graphics & Presentations: Produce and edit visual content and presentations, integrating graphics as needed.
  • Internet & Software Proficiency: Efficient navigation and utilization of internet and office applications, including MS Office (Word, Excel, PowerPoint) and Adobe Acrobat.
  • Spreadsheets & Word Processing: Perform advanced data manipulation and document formatting, ensuring high-quality outputs.

Qualifications and Skills

  • Previous experience in Commercial Real Estate is preferred but not required.
  • Bachelor’s or Associate degree with relevant experience, or an equivalent combination of education and experience.
  • Strong mathematical ability and familiarity with financial principles.
  • Exceptional written and verbal communication skills.
  • Proven ability to provide high-quality customer service.
  • Efficient in a fast-paced environment, capable of multitasking and meeting tight deadlines.
  • Detail-oriented, organized, and proficient in CRM software.
  • Requires reliable transportation, a valid driver’s license, and a clean driving record

Hours & Salary

  • Job Type: Full Time
  • $19 – $23/Hour
